Who Should Pick FreshBooks and Who Should Pick QuickBooks?
These are decision rules, not vendor claims.
- Pick FreshBooks if you bill under about 50 different clients, work mostly alone or with one helper, and mainly send invoices and estimates.
- Pick QuickBooks if you need bills, a bookkeeper or accountant using the same system, or several staff logins.
- Check your client count first. A cafe or salon with hundreds of walk-in customers rarely has 50 billable clients; a studio billing a few dozen regular accounts might.
- Skip both for now if you only send a handful of invoices a month and the free QuickBooks plan covers it.
Ask your accountant which they already use. That alone often decides it.
The Math: A Solo Business With 40 Clients and One Helper
All inputs are assumptions. A trainer bills 40 clients and has one helper who sends invoices. Prices are the regular prices from the pages read on 24 October 2026.
| FreshBooks Plus | QuickBooks Essentials |
|---|
| Plan price | $43 | $85 |
| Extra user | $11 for the helper | Included, up to 3 users |
| Monthly total | $54 | $85 |
| 12-month total | $648 | $1,020 |
With 40 clients FreshBooks Plus fits, and with 60 it would not, so Premium at $70 plus $11 would be $81. At that point the gap is only $4 a month, and QuickBooks adds more accounting depth. Taxes and promos are excluded.

Count how many different clients you invoiced in the last 12 months and how many people need a login. Those two numbers pick the plan.
What Should You Test During the Free Trial?
Use the 30-day FreshBooks trial and the QuickBooks trial to run your real month, not a demo. Send three genuine invoices, record five expenses, and connect your bank feed. Then ask your accountant to look at the reports.
Two checks matter most. First, count your active billable clients against the plan limit, since FreshBooks Lite stops at 5 and Plus at 50 per the pricing page. Second, add the add-ons you will really need, such as payroll ($40 a month plus $6 per user on FreshBooks) or Advanced Payments ($20 a month), and recompute the monthly total.
Write the final monthly cost on paper before the promo ends. The promo prices on both pages are temporary, so the regular price is the one to budget for.
